About the Role

We are seeking a highly organised and proactive Office Administrator to make a difference daily by providing professional and high-level administrative support to the Asset Preservation Team within the Infrastructure Directorate. This role plays a critical part in supporting the delivery of Council's Asset Preservation functions, ensuring Council assets are protected throughout private development, demolition and building activities.

As the central office coordination point for asset protection applications, inspections, correspondence and customer enquiries, you will work closely with internal stakeholders, developers, builders, contractors and residents to help drive continuous improvement and ensure efficient administration and exceptional customer service outcomes.

This is a permanent full-time role based at Knox Civic Centre. We support flexible working arrangements while ensuring operational needs of the role are met.

This is a Band 5 classified role (under the Knox City Council Enterprise Agreement). Remuneration will be $80,377.95 to $93,517.76 gross per annum (depending on experience) plus superannuation in accordance with the Superannuation Guarantee. 

What you will bring to this role

  • Highly organised, proactive and detail-oriented, with a strong focus on achieving team outcomes and meeting service standards.
  • Proven financial administration skills, including invoice processing, fee and bond reconciliation, purchasing support and financial record management.
  • Proficiency in data entry, database management and corporate systems, with the ability to maintain accurate records and produce meaningful reports.
  • Strong ability to coordinate applications, inspections, service requests and administrative processes while managing competing priorities.
  • Excellent customer service skills with the ability to effectively liaise with residents, builders, developers, contractors and internal stakeholders.
  • Well-developed written and verbal communication skills, with the ability to build and maintain positive working relationships.
  • Commitment to continuous improvement, with the ability to identify efficiencies, streamline processes and contribute to enhanced service delivery.
  • Understanding of Local Laws, Asset Protection requirements and compliance or enforcement administration processes would be beneficial.

About You

  • Experience in local government, compliance, infrastructure, construction, asset preservation or regulatory services highly regarded. 
  • Ability to manage sensitive matters with discretion, professionalism and sound judgement.
  • Strong stakeholder engagement skills, with the ability to effectively liaise with residents, builders, developers, contractors and internal teams.
  • Able to coordinate multiple workflows and meet deadlines in a fast-paced environment.
  • Advanced Microsoft Office skills and the ability to quickly learn and utilise specialised corporate systems and databases.
  • Proactive, solutions-focused approach with a commitment to continuous improvement and high-quality customer service
  • Ability to work both independently and collaboratively while building productive working relationships.
